### UFS Account Registration & Create Account Guide

How to reach Register, complete every field, use referral codes, confirm your email, and understand what happens after account creation

| | | |
| --- | --- | --- |
| | Purpose of This Page | |
| | Registration in UFS is more than creating a username. It creates your base personal UFS identity, which can later be used | |
| | for personal and professional profiles, connections to Facilities, work activity, relationships, and future opportunities. | |
| | | |

## 1. How Do You Reach the Create Account / Register Page?

The registration page is available through the Register route, and UFS provides several natural ways to reach it. The most common path starts on the Landing Page.

![Create Account - guide screenshot](/_content/UFS.Shared/help/assets/UFS-002-CreateAccount_Guide_EN/p02-02.webp)

The Create account button in the Landing Page hero area.

1. On the Landing Page, select “Create account.” UFS opens the Register page.

2. If you are already on the Login page, the “Create an account” link also takes you to Register.

3. The public UFS footer also provides a Create account option for signed-out visitors.

4. If someone invited you through UFS referrals, the invitation link can open Register directly with the referral code included.

| | | |
| --- | --- | --- |
| | Direct Access | |
| | The registration page can also be opened directly. Invitation links may include a ref parameter so the Referral Code is | |
| | filled automatically. | |
| | | |

## 2. What Does the Register Page Communicate?

Universal Facility System (UFS) | User Guide

The registration identity panel.

The page emphasizes one core message: “Start with one account. Build everything from there.” Your UFS account is your reusable identity across the platform; you should not need a separate account for every Facility or role.

- A reusable professional identity across UFS

- The ability to connect to Facilities and work or interact with them through one secure account

- Access to work opportunities, connections, and future services

- The account begins as private, and you control what information you later complete or choose to share.

## 3. Complete Guide to the Registration Fields

![Create Account - guide screenshot](/_content/UFS.Shared/help/assets/UFS-002-CreateAccount_Guide_EN/p04-04.webp)

The main account-creation form.

The core identity fields are required by registration logic. Middle Name and Referral Code are optional. The table below explains what each field does and how UFS handles it.

| | Field | | | Status | | | What UFS Does | | | User Guidance | |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| First Name | | | Required | | | Your given name. Leading and<br>trailing spaces are removed before<br>the account is created, and the<br>value becomes part of your base<br>identity. | | | Enter the real name, or the name<br>you want associated with your<br>UFS account. | | |
| Middle Name | | | Optional | | | Use this if you have a middle<br>name. Leaving it blank does not<br>prevent registration. | | | Leave it empty if you do not use a<br>middle name. | | |
| Last Name | | | Required | | | Your family name/surname and<br>part of your base identity<br>information. | | | Enter it carefully because it may<br>later be reused in your profile. | | |
| Birth Date | | | Required | | | Stored as part of your account<br>identity. The form initially<br>displays a default date; replace it | | | Always verify the date before<br>creating the account. | | |

Universal Facility System (UFS) | User Guide

| | Field | | | Status | | | What UFS Does | | | User Guidance | |
| --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- | --- |
| | | | | | | with your actual date of birth. | | | | | |
| Username | | | Required and unique | | | Used to identify the account and<br>sign in. UFS checks username<br>uniqueness without treating<br>upper- and lower-case versions as<br>different usernames. | | | Choose something memorable and<br>unique. Registration is rejected if<br>the username already exists. | | |
| Email Address | | | Required; valid email format | | | Used for account communication<br>and, critically, email confirmation.<br>UFS normalizes the email address<br>for storage. | | | Use an inbox you can access. Sign-<br>in remains unavailable until the<br>email address is confirmed. | | |
| Password | | | Required | | | Must satisfy UFS security policy: at<br>least 6 characters and include an<br>uppercase letter, lowercase letter,<br>digit, and a non-alphanumeric<br>character such as ! or @. | | | Use a strong password that you do<br>not reuse elsewhere. | | |
| Confirm Password | | | Required | | | Protects against typing mistakes<br>and must exactly match Password. | | | If the two values differ, the form<br>displays a validation error. | | |
| Referral Code | | | Optional | | | If you arrived from a UFS<br>invitation, the code may be filled<br>automatically from the referral<br>link. You can also enter it<br>manually. The maximum length is<br>64 characters. | | | Leave it empty if you do not have<br>one. An invalid or inactive referral<br>code prevents registration with<br>that code. | | |
| Information Confirmation | | | Required to submit | | | The checkbox confirms that the<br>information you entered is<br>correct. Until it is selected, Create<br>Account remains disabled. | | | Review your name, email, birth<br>date, and username before<br>confirming. | | |

## 4. Important Username and Password Rules

| | | |
| --- | --- | --- |
| | Current Password Requirements | |
| | At least 6 characters, including at least one uppercase letter, one lowercase letter, one digit, and one non-alphanumeric | |
| | character. If the password does not satisfy these requirements, UFS reports the registration error. | |
| | | |

- Usernames must be unique. Changing only letter case does not create a different username.

- Confirm Password must exactly match Password.

- After five failed sign-in attempts, the security policy can lock the account for 15 minutes, so keep your credentials
private.

- Email confirmation is required before a successful sign-in after registration.

## 5. How Does the Referral Code Work?

Universal Facility System (UFS) | User Guide

![Create Account - guide screenshot](/_content/UFS.Shared/help/assets/UFS-002-CreateAccount_Guide_EN/p06-05.png)

Referral Code, information confirmation, and Create Account action.

Referral Code is part of the UFS invitation and Rewards system. If another UFS user sends you an invitation link, the Register link can carry that user’s code and the form displays it automatically in normalized uppercase form.

- A Referral Code is not required to create an account.

- Before proceeding, UFS checks that the code belongs to an active, non-deleted account.

- If valid, UFS records the relationship between the referrer and the new user.

- After account creation, UFS also generates a unique Referral Code for the new account so the Rewards/Invite system
can use it in the future.

## 6. When Does Create Account Become Available?

Create Account stays disabled until the information-confirmation checkbox is selected. It is also temporarily disabled while the request is being submitted, which helps prevent duplicate submissions. After the account has been created successfully, the same action is no longer available for creating the account again.

## 7. What Happens After You Select Create Account?

UFS first validates the form and then creates the account through a controlled sequence. From the user’s perspective, the flow is:

1. Required fields, email format, password confirmation, and the information acknowledgement are validated.

2. If a Referral Code is present, UFS verifies that it is valid and active.

3. UFS checks that the Username is not already in use.

4. Your secure sign-in identity is created and the base “User” role is assigned.

5. The related Person and UFS User Account are created or associated with existing person information, and a unique referral code is generated for the new account.

6. Finally, UFS sends a confirmation email to the registered email address.

| | | |
| --- | --- | --- |
| | Very Important | |
| | Creating the account does not mean you can sign in immediately. The current UFS policy requires email confirmation | |
| | before sign-in. | |
| | | |

## 8. Email Confirmation: The Required Next Step

When the message is sent successfully, Register tells you to open your inbox and use the confirmation link. The current confirmation link is time-limited and designed for one-time use.

- The current confirmation-link lifetime is 30 minutes.

Universal Facility System (UFS) | User Guide

- After opening the link, the Confirm Email page asks you to complete the confirmation.

- After successful confirmation, you can continue to Login and sign in to UFS.

- If email delivery fails during registration, the created account remains and the page offers Resend confirmation email.

| | | |
| --- | --- | --- |
| | If You Do Not Receive the Email | |
| | Check Spam/Junk first, then use Resend confirmation email. The replacement link is also time-limited. If the problem | |
| | continues, verify that you entered the correct email address. | |
| | | |

## 9. Common Errors and How to Resolve Them

| | Message / Condition | | | Meaning | | | Recommended Action | |
| --- | --- | --- | --- | --- | --- | --- | --- | --- |
| Required fields are missing. | | | One or more required fields are empty. | | | Complete First Name, Last Name, Username,<br>Email, and Password. | | |
| Please confirm that the information you<br>entered is correct. | | | The confirmation checkbox was not selected. | | | Review the information and select the<br>checkbox. | | |
| Passwords do not match. | | | Password and Confirm Password are different. | | | Re-enter both password fields so they match<br>exactly. | | |
| Username already exists. | | | The selected username is already registered. | | | Choose a different Username. | | |
| The referral code is invalid or is no longer<br>active. | | | The code cannot be resolved to an active<br>referrer account. | | | Correct the code, or remove it and register<br>without a referral code. | | |
| Registration failed. ... | | | An account-policy rule, commonly a password<br>requirement, was not satisfied. | | | Read the displayed details, correct the issue,<br>and try again. | | |
| Confirmation email could not be delivered. | | | The account was created, but confirmation-<br>email delivery failed. | | | Use Resend confirmation email. | | |

## 10. Privacy and Information Control

Registration creates your base private account. The Register page does not automatically make all your information public. UFS separates account identity, information you later complete in your profile, your relationships with Facilities, and information that is intentionally made public.

- Use a trusted email address that you control.

- Do not share your password with anyone.

- Verify identity details, especially Birth Date, before submission.

- After sign-in, manage additional and public information according to your needs and permissions.

Universal Facility System (UFS) | User Guide

## 11. How Your Account Relates to Facilities and the UFS Model In UFS, Account and Facility are separate but connected concepts. Your Account represents you as a person; a Facility represents the operational identity of a business or business location within the platform.

| | | |
| --- | --- | --- |
| | One Account, Many Connections | |
| | The goal is to maintain one UFS identity and use that same account to create or manage a Facility, work with other | |
| | Facilities, maintain personal/professional profiles, build connections, and access future opportunities. | |
| | | |

Creating an account does not itself create a Facility. After confirming your email and signing in, a business owner or manager can continue to Facility creation or management. Facility information - such as category, services, Locations, contact details, brand, team, and other operational information - is organized around that business identity.

## 12. Recommended First-Time Registration Journey

1. From the Landing Page, select Create account.

2. Enter First Name, Last Name, and Birth Date carefully.

3. Choose a unique Username.

4. Enter an email address you can access.

5. Create a password that meets the security requirements and repeat it in Confirm Password.

6. If you have an invitation, review the Referral Code; otherwise leave it blank.

7. Confirm that the information is correct and select Create Account.

8. Open your inbox and confirm the email while the verification link is still valid.

9. After confirmation, go to Login and sign in with your Username and Password.

## 13. Quick Summary

In one sentence: Create Account is the starting point for your UFS identity; enter your base information, confirm your email, and then use the same account for personal, professional, and Facility-connected experiences.
